Scope & Roles

We act as Controller for our business operations data (e.g., your account, billing, usage analytics) and as Processor for candidate submissions processed on behalf of employer Customers.

Information We Process

Customer account data (Controller):

• Name, email, company, billing email, plan, invoices
• Login timestamps, usage history, IP, device/browser
• Support communications
• Payments by Polar (independent controller)

Candidate data (Processor):

• Name, email, video/audio (≤2m)
• Timestamps, duration, IP, device/browser, user-agent
• View/share logs

Biometric information:

Videos may reveal facial features/voice; we do not perform facial recognition or emotion inference.

Cookies:

Essential auth/security cookies; optional preferences/analytics (see Cookie Policy).

Uses (Purposes)

Provide, secure, and operate the Services; authenticate (magic links); prevent abuse; enforce AUP; host/stream candidate videos; support/troubleshoot; improve Services with aggregate insights; comply with law.

Legal Bases (UK/EEA)

• Contract (provide Services to Customers)
• Legitimate interests (security, fraud prevention, service improvement)
• Consent (only where required for biometric processing in certain jurisdictions)

Retention

• Candidate videos: 30 days (auto-delete)
• Candidate metadata: 90 days (auto-delete)
• Customer account/billing: while active + 90 days; financial records 7 years
• Backups: retained on limited rolling cycles

Sharing; International Transfers

Processors:

• Convex (DB/blob)
• Vercel (hosting/CDN)
• Resend (email)

Independent controller:

Polar (payments)

Transfers:

Data may be processed in the United States and other locations. For UK/EEA personal data we use EU SCCs (Module 2) and the UK Addendum, with supplementary measures (encryption/access controls).

Your Rights & How to Exercise Them

Candidates:

Contact your Employer (Controller). You can also email info@vidintro.io and we will route your request and assist the Employer.

UK/EEA rights:

• Access, rectification, erasure, restriction, portability, objection
• Lodge a complaint with the ICO or your local authority

California:

Know/delete/correct; we do not sell/share personal information for cross-context behavioural advertising.

Children

18+ only.

Security

Appropriate safeguards (see Security Overview). No system is 100% secure.
